3 Vital business security habits

Business security is a necessary habit that must be kept up by every single employee in your firm. They must adapt to your policy, you must continually refine your methods, and you must learn from breaches that may or may not happen. Security is a habit, not a one and done thing. While it’s also easy to imagine business security as defending a castle from an invading force, the truth is that most modern threats can come from any direction, both physical and in cyberspace.

Without good security, your firm is sure to lose its integrity sooner rather than later, especially when you start to become an operation to be reckoned with. Unfortunately, those with negative intentions will usually find a way, so it’s best to always be one step ahead:

Documents

The documents of your business are often its lifeblood. Paperwork means legal backing, security clearance, ideas with value, and communications that indicate the inner nature of a businesses life. Some of these will be digitized, some of them will be printed. One can of course form into the other. However, unlikely digital archiving systems, your physical documents cannot be kept for the long term. They will need to be archived securely, or removed responsibly. For this, you should develop a good relationship with a trustworthy and local shredding company, a firm that can help you dispose of large amounts of files en-masse. We’re not talking about simply ensuring the odd document is taken care of. But in vast digitization efforts a competent service at your side can really make all the difference.

Staff Practice

Your staff need to practice competent security methods of success with a high degree of control. Without a careful and complete code of practice, they can often fall into impractical or dangerous methods of working. For example, which services do they use to host images to show each other? Do they use online services to convert important business PDFs because you haven’t provided them with a secure, encrypted option? Are they bringing in unverified personal storage units to transport localized files home to work on?

It might seem like no big deal, but even a small lack of care in your process can cause issues further on, especially if small problems are being practiced by many employees in a large business. A tiny habitual problem becomes a problem when repeated each week by ten people. A problem becomes a huge problem when one hundred of your staff participate in it regularly. Ensure you train your staff exactly in the security habits they are to maintain in order to keep the tightest control of your procedure, and to avoid leaks or hacks.

Contracts

Of course, staff will not adhere to any security code if it’s not a responsibility in their contract. You may list different levels of adherence for certain clearance levels of information, allowing you to ensure that the people most at risk can be focused on, helping you manage your security-focused time effectively.
